Managing Returns & Exchanges with PartSource
Initiating a Return
- You can only initiate a return for delivered orders. To do so, navigate to My Account > Orders > Delivered. Here, you'll enter the part details and reason for the return, then click 'Initiate Return' to begin the process. Our support team will follow up if any additional information is needed. Once approved, a Return Goods Authorization (RGA) is created, and the item will appear on your Exchanges and Returns screen.
Tracking and Key Features
- Visibility Control: The 'Only Me' toggle lets you choose between viewing your personal return information or organizational data.
- Prepaid Shipping: All returns come with prepaid shipping labels linked to PartSource for easy tracking and order updates, simplifying logistics.
- Exchange Specifics: For exchange purchases, it's crucial to return the original items promptly to avoid extra billing fees. Exchange cards provide clear due date information and detailed views, similar to the returns process, ensuring full transparency.
PartSource Returns Management Process
- Returns and exchanges are highlighted through the Alerts and Notifications bar on the PartSource homepage for easy access.
- Returns can only be initiated from orders with a delivered status through the My Account > Orders > Delivered tab pathway.
- Return initiation requires entering part information and return reason with on-screen prompts, followed by clicking 'Initiate Return'.
- Support team provides follow-up communication if additional information is needed for return processing.
- RGA (Return Goods Authorization) creation occurs after return approval, adding items to the Exchanges and Returns screen.

Access and Permissions Management
- Multiple access points available: Alerts and Notifications bar, Returns button, or My Account menu > Exchanges and Returns.
- 'Only Me' toggle switch controls visibility - when enabled shows only personal returns, when disabled shows all organizational returns.
- Permission-based feature designed for managers investigating return issues and centralized administrators managing group orders.

Shipping and Documentation
- All returns include prepaid shipping labels mapped to PartSource for automatic tracking and system updates.
- 'Print Label and Documents' function provides shipping labels and RGA documentation for returns.
- Return cards display due date information with 'View Details' option for additional order information.

Exchange Management Process
- Exchange purchases require timely return of the original parts/devices to avoid additional billing charges.
- Exchange management uses the same access points and 'Only Me' toggle functionality as the returns system.
- Exchange cards show due date information with detailed order view capabilities.
- Prepaid shipping labels are provided for exchanges with automatic PartSource tracking integration.
